Executive Assistant & Operational Partner
- Remote
- Operations
Job description
The Role
We’re looking for a sharp, logically-driven Executive Assistant & Operational Partner to take full ownership of the CEO’s operational day-to-day. This is a high-impact position for a "Force Multiplier"—someone who can serve as a bridge between the CEO’s vision and the administrative execution required to achieve it.
If you thrive in early-stage environments where you can move from high-level scheduling strategy to granular project tracking—and you enjoy the challenge of creating structure for a deep-thinking—this is the role for you.
What You’ll Do
High-Level Inbox & Slack Triage: Act as the primary gatekeeper for communications; you will not only filter noise but also route issues to the correct stakeholders and draft responses on the CEO's behalf.
Strategic Calendar Guarding: Manage a complex, multi-time zone calendar with a focus on protecting "deep work" blocks and ensuring every meeting has a clear agenda and ROI.
End-to-End Travel & Logistics: Handle all travel arrangements (flights, accommodation) with a focus on zero-friction execution.
Admin & Compliance Ownership: Manage the collection of paperwork, signatures, and board-level documentation with 100% accuracy.
Meeting Preparation & Synthesis: Ensure the CEO is briefed before high-stakes meetings and synthesize post-meeting notes into clear, actionable trackers in Notion.
Stakeholder Routing: Serve as a polite but firm filter for internal and external requests, resolving what you can so the CEO only sees what is essential.
Information Synthesis: Use Notion and Google Workspace to build trackers and summarize complex project statuses into concise, logical briefings.
Job requirements
Who You Are
Ownership Mindset: You take ownership of outcomes, not just outputs; you find the "missing piece" before the CEO has to ask for it.
Analytical & Logical: You think like an engineer; you value "high signal-to-noise" communication and data-driven reasoning.
Scrappy & Proactive: You don’t wait for a roadmap; you identify chaos and build the process to fix it
Ambiguity Appetite: The ability to make high-quality decisions without constant input from the CEO.
Multicultural Awareness: Comfort working in a remote, global environment with diverse communication styles.
Master of Tools: Expert in Google Workspace (Calendar, Drive, Sheets) and Notion.
